How to Submit a Contact For Their First Background Check
Contacts can be submitted for a background check through the ‘Contacts’ tab in your Aspen iRecord® account.
Step 1: To submit a contact for a background check, first go to the ‘Contacts’ tab and choose the contact by checking the checkbox next to their name. Next, click the ‘Submit for Background Check’ link from the ‘Actions’ box. If the user needs to have any details completed on their contact information page before submitting for a background check the missing information icon will be displayed beside their contact name.
Please click on the contact's name and ensure that all required fields are completed and that you have uploaded any background check documents that has an upload link available.
Step 2: On the next page, review and accept the FCRA agreement and complete all required information. The required information must be accurate or the background check will fail resulting in additional fees to resubmit. The required information includes:
- SSN (Social Security Number): Only use the nine digits, with no dashes.
- Date of Birth: Click the calender icon for easier entry.
- Obtained Written Consent: The FCRA require that you have obtained written consent from a contact before you submit them for a background check. Use this option to indicate if you have already obtained this written consent from this contact.
- Existing Proprietary Background Check: Click ‘Yes’ if the contact already has an existing, current background check from a system other than Aspen iRecord®.
Step 3: By submitting a contact for a background check, this will result in your credit card being charged immediately.
Step 4: Once complete, all successfully submitted contacts will be listed in the ‘Successful Submissions’ section.
Note: For contacts not successfully submitted, the contact will be listed under the ‘Submissions requiring attention’ section and you will be provided with the reason the submission was unsuccessful. You will not be charged for submissions needing attention as they have not been submitted for a background check.
Step 5: If you need to renew a contact’s background check in the future this can be done be by performing the same process as in the previous steps. If a contact is within 60 days of their background check expiring a flag symbol will appear beside them to highlight that this contact’s background check is near expiration. If the contacts background check has expired then the red attention symbol will display beside them
