Implications of transferring a background check account between Aspen iRecord® accounts
Transferring a background check to a different Aspen iRecord® account effects 3 interested parties:
- The ShieldID (ABC#) owner - The individual contact whose details will be transferred
- The new business account - The contact is transferring to
- The previous business account - The contact is transferring from
Note! Regardless of who pays for a background check, the “ShieldID (ABC#) owner” is the contact whose details were used for a background check and is protected under the Fair Credit Reporting Act and other legislation.
Before initiating a background check transfer please check:
- You have authorization from the ShieldID (ABC#) owner.
- You have shared this article with the ShieldID (ABC#) owner so they are aware of the implications
Note! The ShieldID (ABC#) owner will be notified that you confirmed completion of both these steps
Once you have transferred the background check you are responsible for:
- Maintaining information on the ShieldID (ABC#) owner and performing any subsequent background checks
- Deciding if you wish to rely on the background check information you are transferring to your Aspen iRecord® account or to resubmit
- Reviewing the personal information transferred to your Aspen iRecord® account
- Providing the ShieldID (ABC#) owner with their Validation Pin# for third party mobile applications. This is available by clicking the contact’s name on your contacts tab within Aspen iRecord®
Note! You will not be informed of the results of any audits/appeals or disputes conducted under the previous business account.
Implications for the ShieldID (ABC#) Owner:
- Your authorization will result in information being transferred to the new business account. Click here for further information
- Any login access the previous business account had for Aspen iRecord®, Aspen iProperty®, Aspen iProperty Vendor Portal®, Aspen iProperty Mobile℠ or Aspen iMobile® account will be removed
- Any work orders previously assigned by the previous business account through Aspen iProperty Vendor Portal® or Aspen iProperty Mobile℠ will no longer be accessible to you
- If you have been using a Validation Pin# to complete Proof of Service sign-ins on a third party mobile application provider, you will need to obtain a new Validation Pin# from the new business account
- If you had previously validated and saved your ShieldID (ABC#) to complete Proof of Service sign-ins on a third party mobile application provider, you will need to re-validate your ShieldID (ABC#) on that third party mobile application, after completing the transfer
Implications for the Previous Business:
- Where the ShieldID (ABC#) owner is transferring their background check to their own account you can connect with them through Aspen iRecord®. The article Creating Connection Codes will help you achieve this
- You will continue to see the ShieldID (ABC#), IC status, and expiration date for the background check you paid for, but you will not see updates that result from any subsequent background checks submitted by the new business account
- The ShieldID (ABC#) owner will be deactivated automatically from your Aspen iRecord® account. This will remove, edit and submit access you may have previously given to Aspen iRecord®, Aspen iProperty®, Aspen iProperty Vendor Portal®, Aspen iProperty Mobile℠ or Aspen iMobile®
- Any Work Orders you may have assigned to the ShieldID (ABC#) owner will no longer be accessible
