For your client to successfully set up a new vendor in their system for payments (or if an existing vendor has changed their company information) they will require a W-9 form showing the vendor's new payment information.
Please send an updated W-9 form via Voltage Secure email to your client's payee header team and request for the vendor to be set up for payment(s)
After you send the W-9 form to your client, please allow 72 hours before submitting an expense for this new vendor in your Aspen iAgent® account.
IMPORTANT NOTE: All W-9 forms must be sent to your client via Voltage Secure email or you risk having an Incident Report (IR) being filed on you for sending proprietary information via unsecured route per your client. If you need to obtain a W-9 form please reach out to your client directly .
Voltage Secure email If you do not have a Voltage Secure email, contact your Clients payee header team and they will send a Voltage Secure email to you. Once the Voltage Secure email is received, the broker/agent can reply to the secure email and attach the IRS Form W-9, allowing the form to be
transmitted securely to your Client. Do not send completed IRS Form W-9s via fax or regular email as these forms of transmission are insufficient for the transmission of confidential information.
